Set Up Validation Sets
Validation sets contain the entries that appear as valid options on drop-down lists for fields throughout the New World ERP application.
The following example shows you how to set up an entry for validation set 4, Gender:
- Navigate to Maintenance > new world ERP Suite > System > Validation Sets > Validation Set List. The Validation Set List page opens, showing a grid containing all of the validation sets for New World ERP.
- Highlight the row for Set Number 4.
- Click the Values button located below the grid.
- The Validation Set Values List-4 Gender page opens, showing a grid containing two columns, Value and Description.
- Click the New button. The Validation Set Value-4 page opens.

In the Value field, type the entry as you want it to appear on the drop-down lists for all Gender fields; for example, to denote a male, you might type M.
The Value generally is an abbreviated version of the Description.

In the Description field, type the complete description of the entry; for example, for the M entry, you would type Male.
Note: The Value entry may be the same as the Description entry.

After completing your entries, click Save; or, if you want to continue adding entries to the validation set, click Save/New, and the fields clear for the next entries.
Validation Sets for Human Resources
Validation Set Description 4 Gender 5 Race 6 Employee Type:
Information field on the Employee-Personal page in Employee Maintenance.
This field lets you track full- or part-time employees or, if you are not using grades/steps, employee grades.
7 Employee Class:
Information field on the Employee-Personal page in Employee Maintenance.
This field lets you track full- or part-time employees or, if you are not using grades/steps, employee grades.
8 EEOC Function:
Tracks employees' EEOC functions on the EEOC Report-Form164. Examples may include 1 Financial Administration, 2 Streets and Highways, 3 Corrections.
To run the EEOC Report, you also need to set up an alternate value for each entry (Alternates button).
9 EEOC Category:
Tracks employees' EEOC categories on the standard EEOC Form 100. Examples may include 1 Officials/Administrators, 2 Professionals, 3 Technicians.
To run the standard EEOC Form, you also need to set up an alternate value for each entry (Alternates button).
10 Pay Group:
Set up a separate pay group for each group of employees who are paid according to a unique schedule, such as Weekly, Bi-Weekly, Monthly.
You also need to set up an alternate value for each entry (Alternates button). Alternate values affect the federal and state tax calculations.
Note: If an alternate value is missing, the system will not initialize a payroll.
Set up the following:
- B = Bi-Weekly (26 pays per year)
- S = Semi-Monthly (24 pays per year)
- M = Monthly (12 pays per year)
- W = Weekly (52 pays per year)
- Y = Yearly (1 pay per year)
- Any whole integer greater than zero = Number of pays per year
11 Withholding Status:
Used to indicate the statuses employees claim for federal, state and local taxes. Examples include Single, Married, Head of Household.
12 Marital Status 22 Check Format:
Set up each check format used. If you use only one format for checks, you may create one entry called, Payroll.
Generally, validation set 22 already contains an Accounts Payable Check entry, so you may name the entry Payroll Check to differentiate between the two.
23 EFT Stub Format:
Set up each EFT format used. If you use only one format for EFTs, you may create one entry called, Payroll.
Generally, validation set 23 already contains an Accounts Payable EFT entry, so you may name the entry Payroll EFT to differentiate between the two.
39 Employee Status:
Used for pulling employees into the payroll once a batch is initiated. You need at least an Active and an Inactive status.
40 Employee Status Reason:
Reasons to explain employee inactivations.
46 Holidays Optional Validation Sets 70 Employee Inventory:
Useful if you want to track the types of inventory employees are issued.
71 Employee Education:
Useful if you want to track the levels of education for employees or prospective employees.
72 Major:
Useful if you want to track the major fields of study for employees or prospective employees.
124 Relationship:
Define employee relationships to dependents. Examples include Son, Daughter, Spouse.
