Add or Edit an Asset Depreciation Batch

The Asset Depreciation Batch page allows authorized users to define and maintain the depreciation expenses that will be charged to an asset up to a specific date. Assets can be depreciated monthly but typically it will be done on an annual basis. For assets that will be recorded in the general ledger a journal entry will be sent to asset journals for the depreciation expense.

  1. Go to Financial Management > Asset Management> Depreciate Assets.
  2. On the Asset Depreciation Batch List page, click New to create a new depreciation batch or click the Description hyperlink to edit or view an existing batch.
  3. In Depreciation Through Date, select or enter the ending date for the system to use to calculate depreciation. Assets will be depreciated up to the date specified. The default is the current system date.
  4. In Transaction Date, select or enter the transaction date assigned to the batch. The default is the current system date. This date appears on reports and in the asset history, and could also be the G/L date when the asset journals are created.
  5. In Responsible Department, select the department responsible for the depreciating asset. It is populated with departments having Asset Management process authority to which you have department process approval authority. If none exist, this field is disabled.

If there is a Centralized Asset Management Department selected on the Asset Management tab on the Company FM Settings page, and you have process authority within this department, it displays this department value by default.
  6. In Description type the description of the batch. The maximum character length is 32; the minimum is 1.
  7. Select the Select Single Asset check box to select one asset. When the check box is selected, the Asset field becomes active and the other criteria is disabled. If not selected, multiple assets can be selected.
  8. The Asset field is only active when the Select Single Asset check box is selected. In the drop-down list, choose an asset to depreciate. This list is populated with depreciable assets that are not up-to-date with depreciation charges. Click the Search icon next to this field to open a pop-up which enables you to search for the record you want to display.

If the Select Single Asset check box is not checked, select between the Classifications, Departments, and G/L Organizations tabs and choose criteria to which the assets will be associated.
