Work Orders Setup
Before users can access the Work Order module in New World ERP, the system administrator at your site must set up and configure the following components. Your municipality needs to be licensed to the Miscellaneous Billing module to have access to the work order billing batch options.
User Security/Permissions
Several security components are available in User Security for work orders. Authorization to the Work Order components must be given to users who are responsible for entering and viewing work orders. Users must be given access to the following Permission Types, Applications, and Components:
- Company Applications > Financial Management (Components: Work Order, Request for Action, and Service Request)
- Company Applications > Suite (Component: Request for Action)
- Company Documents and Notes > Financial Management (Components: Work Order and Request for Action)
To access the user security page, go to Maintenance > new world ERP Suite > Security > Users. See Set User Permissions for instructions on how to set these permissions.
User-Based Security
Additional security must be granted for users who need to create a Request For Action (RFA) requests. This security allows users to select from the predefined service request types that were added to the system.
- Go to Maintenance > new world ERP Suite > Security > User-Based Security.
- In User, select the user name of the person who should have authorization to add RFAs to the system.
- In Function, select Service Request Types.
- In Available Service Request Types, select the request type(s) to which the user should have access. Click the appropriate move button to add the type to the Authorized Service Request Types list.
- Click Save.
System Settings
Company FM Settings allows authorized users to define many of the defaults used throughout the system for the organization. To access Company FM Settings, go to Maintenance > Financial Management > Company FM Settings.
The Work Order tab allows authorized users to define the defaults for the applications that interface to the Work Order module. See Work Orders Tab for more information.
Process Manager
Process Manager allows authorized users to set up and view the process or departments to which a user will be authorized and denote the level at which the user can approve transactions. This can be done in four different ways depending on the user’s security level. It provides the ability to define and maintain processing information by process, department, manager, and user. To access the Process Manager, go to Maintenance > new world ERP Suite > Process Manager.
Three processes are available for Work Orders:
- Create Billings – Controls the approval, validation, and posting of the Work Order Billing Batches.
- Inquiry – Determines which responsible departments and users are able to view work orders in the system.
- Maintenance – Determines which responsible departments and users are able to add and update work orders.
