Bad Debt Batch Transmittal File
The Bad Debt Batch Transmittal File pop-up page allows authorized users to create an electronic file that will be sent to a collection agency.
To create a transmittal file, follow the steps below:
- Go to Financial Management > Miscellaneous Billing > Period End Processing > Bad Debt.
- In the Bad Debt Batch List, select the bad debt batch for which you want to create a transmittal file. Click Create Transmittal File to open the Bad Debt Transmittal File page. The top half of the page displays summary information regarding the batch.
- In File Path, enter the path to the location of the file you want to send electronically. Click the Search
icon next to this field to open a pop-up window which enables you to search for the record you want. - In File Format, select the file format to use when exporting the bad debt transmittal file. The format is defined in Validation Set 53. Press CTRL and click the field to open the Validation Set Values List dialog box where you can add or edit a validation set. .
- In Administration Fee Amount, enter the dollar amount which will be added to the total balance of invoice billed, late fees, and finance charges when the transmittal file is created. It is enabled if Bad Debt Batch Type is Transfer to Taxes or Transfer to Collection Agency. A percentage or amount can be entered, but not both.
- In Administration Fee Percentage, enter the percentage which will be added to the total balance of invoice billed, late fees, and finance charges when the transmittal file is created. It is enabled if Bad Debt Batch Type is Transfer to Taxes or Transfer to Collection Agency. A percentage or amount can be entered, but not both.
- Click Create to generate a bad debt transmittal file using the requested format and place the information you specified in the field. Only those items associated with the bad debt batch are included in the bad debt transmittal file. This pop-up window closes and returns to the Bad Debt Batch List page.
